Alumni Expectations Start at Submit: Best Practices in Scheduling Appointments and Client Communication

Presenter: Maria Tomaino, Associate Director of Alumni Career Development at Florida International University (Email: [email protected])

Safety procedures on university campuses are becoming increasingly important for all employees to consider. As practitioners servicing client alumni from all social, cultural, and career backgrounds, Alumni Career Services Network members must take precautionary measures in our offices and within the alumni community. To maximize your own time, manage expectations around career services, and effectively assist your alumni in moving their plan forward, it is essential to have a procedure in place for managing appointment scheduling.

In this session, Maria Tomaino, Associate Director of Alumni Career Development at Florida International University, will walk through the appointment scheduling process that has supported her in safely and successfully managing a growing number of client appointments in her 215,000+ alumni community. In addition to explaining the side effects of avoiding a process for appointment scheduling, Maria will review:

• How to create a comprehensive intake form and process for alumni scheduling appointments
• The importance of assessing alumni and collecting demographic information before the appointment
• Questions to ask alumni in advance of an in-person meeting
• Clear communication in confirmation email outlining expectations
• Post-session follow up note, reporting client data, and setting next steps
• A start to finish scheduling plan for you to implement in 90 seconds or less
